Why Your Business Emails Go to Spam, and How to Fix It
You send a quote, and the customer says they never got it. It is in their spam folder. This is common, and it is most often caused by missing records on your domain, not by anything in the message.
We set up business email and these records for a living, so this is what we check first.
Our main page for this service: Business Email.
The usual causes
In rough order of how often we see them:
- No SPF record, or one that does not list the service that actually sends your mail
- No DKIM signature on outgoing messages
- No DMARC record, or one that was never checked
- A website form or billing tool sending as your domain without being authorised
- Sending from a new domain with no history, or to a list full of old addresses
What the three records do
SPF is a list of the servers allowed to send mail for your domain. DKIM is a digital signature that shows a message was not changed on the way. DMARC tells the receiving server what to do with mail that fails the first two, and sends you reports.
Together they let Gmail, Outlook and others trust that mail from your domain is really from you.
How to check
Send a message to a free mail-checking tool, or to a Gmail address, and open "Show original". Look for SPF, DKIM and DMARC marked as PASS. If any say FAIL or NONE, that is where to start.
What nobody can promise
Correct records remove the most common reason for spam placement. They do not guarantee the inbox, because receiving servers also judge your content, your history and what recipients do with your mail.
Frequently asked questions
Can you fix it for us?
Yes. We set up SPF, DKIM and DMARC correctly for your domain, including the tools that send mail on your behalf.
Does this work with Google Workspace?
Yes. It is part of how we set up Google Workspace for a domain.
How long until it helps?
The records take effect within hours, but a poor reputation can take longer to recover. We tell you what we see.
How much does it cost?
It depends on how many sending tools your domain uses. We quote in writing after a short call.
