A plain-language guide

Custom Software vs Off-the-Shelf Software: How to Decide

Off-the-shelf software is built for many businesses, and you pay to use it. Custom software is built around how your business already works, and it belongs to you. Neither is better in general. The right choice depends on how different your process is.

This guide explains the difference in plain terms and gives you five questions to settle it.

What each one means

Three terms come up again and again:

  • Off-the-shelf software is a finished product that many businesses use, such as an accounting package or a CRM. You subscribe or buy a licence
  • Configurable software is a ready product with settings and add-ons you can change without writing code
  • Custom software, also called bespoke software, is written for your business and your process by a team you brief

When ready-made is the better choice

If a ready tool fits most of what you do, buying it is quicker and cheaper to start, and someone else keeps it updated. Many businesses should start here.

Zavik, our own product, is one such option, and we will say so if it covers what you need.

When custom software pays off

Custom work starts to make sense when one or more of these is true:

  • Your process is what makes your business different, and a ready tool keeps pushing you into awkward workarounds
  • Your team retypes the same data between several tools every week
  • You pay for a long list of features and use a few of them
  • The software has to connect to your own systems in a way no product offers
  • Many people use it, and a price per user keeps growing as you hire

Who owns custom software

The contract decides, so ask before you sign: who owns the code, and what do I receive on the last day?

With us you receive the full source code, written documentation and a training session for your technical staff, so you are not locked in.

Look past the first invoice

Ready-made software usually costs less at the start and charges every month. Custom software costs more at the start, then needs hosting, fixes and updates. Compare the total over three to five years, not just the first bill.

We do not list prices here. We send a written quote after a short call about what you need.

Five questions that settle it

Answer these honestly. A yes to the first question points to buying. A yes to the second points to custom work. The other three show how strong the case is.

  • Does a ready tool cover most of what you do every week?
  • Is the part it cannot do the part that earns or saves you the most?
  • Will many people use it, so that a price per user keeps growing?
  • Do you need the data in your own hands, or connected to other systems?
  • Can you describe your process clearly enough for a developer to build it?

A middle path

You do not have to choose one for everything. Many businesses buy ready-made software for standard jobs such as accounts or email, and build custom software for the one process that sets them apart, then connect the two. We build those connections too.

Frequently asked questions

What is custom software?

Software written for one business's process instead of a product sold to many. It is also called bespoke software. Examples are an internal tool, a booking system or a custom HRMS.

What are the advantages of custom software?

It fits your process, you decide what gets built next, and you can connect it to your other systems. You do not pay for features you never use, and you are not at the mercy of a vendor who changes the price or drops a feature.

What is the difference between custom and configurable software?

Configurable software is a ready product that you adjust with settings. Custom software is written to your requirements. Configurable is faster to start. Custom goes further when your process is unusual.

Who owns custom software?

Whoever the contract says. Ask for the source code and the documentation to be handed over at the end. With us, you receive the full source code, documentation and a training session.

Is custom software an asset?

It can be treated as one in the accounts, but how depends on your accountant and local rules. Ask your accountant before you plan around it.

How long does it take to build custom software?

It depends on the number of screens, user roles and integrations. We agree the scope in writing before we start and show working progress every week.

Can one person build software on their own?

For a small tool, yes. For a system that many people depend on, you also need design, testing, security and support. That is why most businesses hire a team.

Not sure whether to build or buy?

Describe the problem, not the software. We will say if a ready tool would do. Call +91-86194 70448 or email contact@gtsltd.in. We work remotely, in English, with businesses in India and abroad.
